Supplier master data

Supplier master data is the centralized, authoritative record of all information defining a supplier relationship: legal name, SIRET/VAT number, registered address, bank account details (IBAN/BIC), payment terms, contact information, and associated contractual data. It is the foundational reference against which every supplier invoice, payment order, and purchase transaction is validated.

The quality of supplier master data directly determines the reliability of the entire accounts payable process. When master data is accurate and current, invoice verification, payment routing, and compliance checks can be automated confidently. When it is incomplete, outdated, or inconsistent across systems, as it typically is in organizations that have grown by acquisition, managed multiple ERPs, or relied on manual data entry, every downstream control is compromised.

The three most common supplier master data failures each carry direct financial risk. Duplicate supplier records lead to duplicate payments. Stale bank account details on file, combined with a fraudulent update request, create the exact conditions for fake IBAN fraud. Incorrect payment terms miscalculated at invoice processing trigger either early payment discounts missed or late payment penalties incurred.
