Lockbox

A lockbox is a bank-operated collection service in which customers send their check payments to a postal address managed by the bank, which opens the envelopes, deposits the checks and sends the company a data file listing each payment with its remittance details.

A lockbox shortens the time between the customer mailing a check and the cash becoming available. The company no longer opens and deposits checks itself, and the bank deposits them on the day of processing.

Lockbox services come in three forms:

  • Retail lockbox: high volumes of small, standardised payments with a scannable coupon, typical of utilities, insurers and subscription businesses
  • Wholesale lockbox: lower volumes of larger B2B payments with variable remittance documents, keyed or captured by the bank
  • Electronic lockbox: the bank consolidates checks, ACH, wires and card payments into one remittance file

The value of a lockbox depends on the quality of its output file. A wholesale lockbox receives remittances in every format, handwritten notes included, and the bank's capture may truncate references or skip invoice numbers. The file then enters cash application with the same gaps as a poorly documented transfer, and the time saved on deposit is lost on allocation.

Lockboxes are a mainly North American practice. In Europe, where transfers dominate B2B payments, the equivalent role is played by a virtual IBAN per customer and by structured remittance advice. France, which still uses checks more than most euro-area countries, relies on bank check-processing services built on the same model.

Phacet processes lockbox files like any other payment source: payments are matched to open invoices by amount, customer and reference, and the lines the bank captured incompletely are raised as exceptions. The same controls feed accounts receivable automation, and positive pay covers the mirror risk on outgoing checks.
