AI agent onboarding

AI agent onboarding is the structured process of activating an AI agent on a finance workflow,; from initial use case selection through production deployment with real data running through the agent. In Phacet's deployment model, it follows five clearly defined steps:

  1. Use case scoping: identify the most painful, measurable, recurring process (typically supplier price control, invoice inbox automation, or 3-way matching).
  2. System connection: connect the agent to data sources: ERP, accounting platform, email inbox, banking feed, SFTP. Native connectors handle Sage, Pennylane, Cegid, Gmail, Outlook.
  3. Rule configuration define business rules: tolerance thresholds, validation criteria, exception triggers. Phacet's Finance Experts handle this collaboratively with the team.
  4. Real-data validation run the agent on actual invoices or transactions for 1–2 weeks. Anomalies surface, rules are refined, edge cases are documented.
  5. Production handoff the agent runs autonomously with exception-based human review. The team monitors the dashboard; the agent handles 100% of volume.

Most Phacet clients complete all five steps in under two weeks. Some are operational on their first agent in 3 days. The acceleration factor is the Finance Experts service, hybrid finance and product profiles who configure agents end-to-end without requiring internal IT involvement.

This onboarding model is what separates specialist AI for finance from generalist AI tools. Generalist tools deliver in demo and fail in production. A structured onboarding produces an agent that holds, with full audit trail and continuous finance control on day one.
